Quick start

From the Teamspace where you want items to land, open Settings → Integrations → Qualtrics → Connect, paste your Qualtrics API token and select the data center (base URL), then create a subscription to auto-import new Qualtrics responses as Highlights in this Teamspace. Qualtrics authenticates via an API token passed in the X-API-TOKEN header and uses a data-center–specific base URL.

Why integrate with Qualtrics?

Each source adds a new dimension of customer truth. Qualtrics contributes voice of the customer (VOC) survey signals (e.g., NPS®, CSAT, CES, feature feedback) that complement customer calls, tickets, reviews, and product analytics already in NEXT AI—so prioritization, decision-making, and workflow execution happen with evidence and customer sentiment attached.

What gets imported

  • Object in NEXT AI: Highlight (short-form signal) in the Teamspace where the subscription is configured.

  • Typical fields (when available): survey name, response text (open-ended), scores (e.g., NPS/CSAT), respondent metadata (e.g., email if present), timestamps, and a source link.

  • Embedded Data: if your survey collects Embedded Data (custom fields such as plan tier, segment, region), those key-value pairs can be captured and mapped for routing/labels in NEXT AI.

Connect Qualtrics

  1. Get your API token in Qualtrics: Account Settings → Qualtrics IDs → API → Generate token (requires Access API permission).

  2. Find your data center ID (e.g., eu1, ca1) in Account Settings → Qualtrics survey IDs. The base URL for API calls is https://{datacenterId}.qualtrics.com/API/v3.

  3. Connect in NEXT AI (from the target Teamspace): Settings → Integrations → Qualtrics → Connect, paste your API token, choose the data center, Save.

Tip: If your organization uses multiple Qualtrics brands/regions, choose the correct data center so requests are routed to the right environment.

Auto-import surveys/feedback

Create a subscription that watches for new survey responses and imports each as a Highlight in this Teamspace.

  • Polling or events: Qualtrics supports event subscriptions/webhooks so systems are notified when a response is recorded; your subscription can align to this for near-real-time capture.

  • Filter by survey: scope the subscription to one or more specific surveys.

  • Backfill: seed a recent window if offered; subsequent imports track new responses automatically.

Tips

  • Bring your context: model your Embedded Data in Qualtrics (segment, account tier, region) and map those fields to Labels in NEXT AI for powerful routing and aggregation.

  • API hygiene: tokens act like passwords—store securely; rotate if needed. Qualtrics brand admins can also enforce API rate limits per user/app to protect throughput.

  • Regional setups: ensure the data center you select in NEXT AI matches your Qualtrics brand to avoid slow or failing requests.

Troubleshooting

  • 401/403 on connect — Verify the API token (and that Access API is enabled) and that you selected the correct data center (base URL).

  • No new items are importing — Confirm the subscription is active and that new responses are being recorded; for near-real-time, enable event subscriptions in Qualtrics.

  • Embedded Data missing — Ensure the fields are defined in Survey Flow → Embedded Data so they are written to responses.

FAQ

Q: What exactly is created in NEXT AI from Qualtrics?

A Highlight for each new survey response, including response text, scores, timestamps, and any mapped Embedded Data, plus a source link back to Qualtrics.

Q: How do we authenticate and what host do we use?

Use your API token in the X-API-TOKEN header and the data-center base URL (https://{datacenterId}.qualtrics.com/API/v3).

Q: Can imports be near real-time?

Yes. Qualtrics event subscriptions/webhooks can notify NEXT AI when a response is recorded, minimizing polling.

Q: Can we import NPS/CSAT plus custom attributes?

Yes—scores and Embedded Data (e.g., plan, region, segment) can be ingested to power filtering, routing, and analysis.

Q: Anything to consider for throughput?

Your brand may enforce API usage limits; plan backfills with pagination/backoff and coordinate with your admin for higher limits if needed.

Q: Can NEXT AI summarize open-ended survey responses without losing nuance?

Yes. NEXT AI unifies, understands and clusters verbatims, then uses AI with retrieval-augmented grounding so insights and trends cite the exact responses/segments that support them. This reduces hallucinations and keeps findings defensible.

Q: How do we connect NPS®/CSAT scores to themes so actions are prioritized?

Map NPS/CSAT fields from Qualtrics to NEXT AI, then rank themes by volume × impact (e.g., detractor-weighted). This aligns qualitative themes with the Net Promoter System you already manage.

Q: Can we bring Qualtrics Embedded Data (e.g., tier, region) into NEXT AI for segmentation?

Yes. Add Embedded Data in your Qualtrics Survey Flow and NEXT AI ingests those fields so you can slice findings by account tier, segment, market, etc.

Q: Do multilingual surveys work with NEXT AI analysis?

Yes. NEXT AI supports multi-language surveys and can analyze the resulting responses and keep language context attached to the evidence. You can choose a single language for the output.

Q: How does NEXT AI keep AI outputs trustworthy for research reporting?

NEXT AI's data pipeline is fully visible and accessible. This means that users can at any time dig into the analysis and follow the AI reasoning from raw data to insights and clusters.

Q: What privacy principles should we follow when analyzing verbatims with LLMs?

Apply data minimization and storage limitation: only process what’s needed for the research purpose and retain for no longer than necessary—principles formalized in GDPR Article 5. NEXT AI offers data redaction and advanced data privacy management capabilities to meet the needs of privacy-first teams.

Q: Can we run semantic search across surveys, interviews, tickets, and reviews in one place?

Yes. NEXT AI's technology is designed to pipeline and index unstructured feedback in unique ways that enable semantic search and cross-source retrieval with utmost accuracy and response consistency.

Q: How do we control latency and cost when analyzing very large VoC datasets?

NEXT AI is designed to handle very large datasets in a cost-efficient and effective way. We have clients with millions of feedback items who add 500K new feedback items per month, every month.

Q: Can we keep insights fresh in (near) real-time as responses arrive?

Yes. Qualtrics supports response events/webhooks; pair that with your NEXT AI subscription so new completions flow in quickly for continuous analysis.

Q: What’s the best way to report out LLM findings to non-research stakeholders?

Use clusters. They're theme-level insights grounded in verbatims. Show confidence/evidence links, and segment by Embedded Data (e.g., tier/region) to move from anecdotes to decisions and action—consistent with VoC program best practices and governance guidance.
