Import Zoom recordings

Quick start

From the Teamspace where you want recordings to land, go to Settings → Integrations → Zoom → Connect. NEXT AI will import your Zoom cloud recordings into that Teamspace as Recordings (media + transcript when available) with a source link for traceability.

Why integrate with Zoom?

Each source adds a new dimension of customer truth. Zoom brings the meeting/customer-success perspective (onboarding, renewals, implementations), which complements sales calls (e.g., Gong), surveys/reviews, and support conversations already in NEXT AI. Combined, these streams form a richer customer intelligence graph that improves context for decisions and automations across your tools. (Best-in-class “insights engines” are built on multi-source inputs that can be traced back to evidence.)

What gets imported

  • Object in NEXT AI: Recording in the Teamspace where you connected Zoom.

  • Included fields: meeting title, video/audio, transcript (if available), host/participants, timestamps, source link to Zoom.

  • Delivery: scheduled imports via API (and compatible with webhook-driven approaches if your team uses them).

Connect Zoom

  1. In NEXT AI (inside the target Teamspace), open Settings → Integrations → Zoom → Connect.

  2. Authorize Zoom and complete the consent screen.

  3. The connection is now scoped to this Teamspace; new cloud recordings are eligible for import.

Import Zoom recordings

Import a Zoom cloud recording (manual)

Once your Zoom account is connected, you can import specific cloud recordings into NEXT AI so your team can store, play back, and analyze them.

  1. Open the Recordings Library of the Teamspace you want to add the recording to.

  2. Click Import (upper-right) → select Zoom.

  3. Choose the cloud recording you want to import → confirm.

The recording appears in this Teamspace as a Recording with media and, if available, a transcript and a source link back to Zoom.

Automatically import new Zoom recordings

NEXT AI can auto-import new Zoom cloud recordings into a Teamspace you choose.

  1. Click your profile photo in the left side navigation.

  2. Click Edit profile.

  3. In Integrations, click Zoom.

  4. Check Auto-import cloud recordings.

  5. Select the Teamspace to receive the recordings.

  6. Close the dialog.

Auto-import applies to new cloud recordings created after you enable it. To bring in older recordings, use the manual import steps above.

Tips

  • If you have a large historical backlog, plan imports in monthly slices (aligns with API date windows).

  • Keep titles short; put long context in the description or labels in NEXT AI.

  • Use Slack/Jira/Productboard shares from the Recording to move validated insights into execution workflows with the evidence link attached

Troubleshooting

  • Auth expired / removed: re-run Connect and re-authorize the Zoom app.

  • Recording isn’t available yet: Zoom webhooks/API reflect post-processing availability; recordings and transcripts appear after processing completes.

  • Backfill gaps: iterate month-by-month when listing recordings to cover long ranges (per API constraints).

Shared Zoom account linked to multiple NEXT AI users

A single Zoom account should be connected to one NEXT AI user at a time. If someone connects the same Zoom account to a different NEXT AI user, the integration will switch ownership and the previous connection can break (e.g., auto-import stops).

Fix: In the account that currently holds the connection, open Integrations → Zoom → Disconnect. Then sign into the intended NEXT AI account and reconnect (Integrations → Zoom → Connect). If you previously used Auto-import cloud recordings, re-enable it after reconnecting.

FAQ

Q: What exactly is created in NEXT AI?

A Recording per Zoom cloud meeting in the Teamspace where you connected Zoom—media, transcript (if available), participants/timestamps, and a source link.

Q: Can we go near-real-time instead of polling?

Yes—Zoom supports meeting/recording webhooks (for example, recording.completed) if your architecture prefers event-driven pipelines.

Q: How do large backfills work?

Use the recordings list endpoint in monthly windows and iterate across your date span; then let NEXT AI process them as Recordings.

Q: Do you import local recordings?

This integration targets Zoom cloud recordings via API. (Local files can be brought in via other import methods, e.g., manual or Zapier.)
