Import HubSpot notes
Quick start
Connect HubSpot in NEXT, enable the Teamspace subscription for HubSpot notes, and let the scheduled sync import new deal notes into NEXT as Highlights.
Why integrate with HubSpot notes?
HubSpot deal notes often capture the commercial context around customer conversations: objections, rollout blockers, handover details, and buying signals. Importing those notes into NEXT makes that context searchable and analyzable next to surveys, reviews, call transcripts, and support tickets.
- It surfaces sales-team observations in the same workspace as direct customer feedback.
- It helps teams compare what customers said with how account teams interpreted the same deal.
- It adds CRM context such as pipeline and deal phase to imported highlights for better filtering and explainability.
What gets imported
- Object in NEXT: Highlights
- Source object: HubSpot notes associated with deals
- Sync model: Incremental daily import of newly created notes
For each imported note, NEXT stores the note body as highlight text and adds metadata tags when available:
- Author team
- Deal phase
- Pipeline
- Deal size
- Article
Authentication
OAuth 2.0 through the HubSpot app connection in NEXT.
Connection notes
- Connect HubSpot in Settings -> Integrations and authorize the HubSpot account that contains the deal notes you want to analyze.
- Create or update the Teamspace subscription for the HubSpot notes import.
- The import also reads related deal data and owner team information so NEXT can enrich highlights with CRM metadata.
Configuration notes
- The import treats notes as append-only and only fetches notes created after the last successful sync.
- Each note must be associated with exactly one deal to be imported.
- Notes with empty bodies are skipped.
Limitations
- Notes without a valid deal association are ignored.
- Notes associated with multiple deals are ignored to avoid ambiguous highlight context.
- Metadata tags are only added when the corresponding HubSpot fields are present on the note owner or deal.
- The
Articletag depends on a deal property namedarticle; if that property is not populated in HubSpot, no article tag is added.
Troubleshooting
- Reconnect the integration if HubSpot access has expired or the authorized portal changed.
- Check that the authorized HubSpot app still has access to notes, deals, and owners.
- If expected notes are missing, verify that each note is linked to a single deal and that the note was created after the subscription import timestamp.
FAQ
What is created in NEXT?
NEXT creates Highlights, one per imported HubSpot note.
Are notes updated after import?
This import is designed for append-only note ingestion. It does not try to reconcile historical note edits.
